On the History tab, you can see the history of a quote and its details. To create an entry in the history, you must select the Archive check box, and click the Archive button on the Quote Summaries tab. For more information, see Quote Summaries.

Such a history allows you to document the development of prices and costs in the course of the negotiations with a bidder. A history entry can be created at any time you want to freeze the current status of a quote before applying further changes. Even after the approval of a quote, a history entry can be created. To make it easier to see how prices and costs have developed, index fields show the changes in percent values.

Quote Summary

On the Quote Summary sub-tab, all information about the quote is displayed.

The Date field shows the date and time on which the quote has been archived.

The number of alternates that have been created for the quote summary is shown in the Alt field.

The No Bid indicator shows if the bidder has sent a bid.

The Manual indicator shows whether the summary fields for costs can be updated manually.

The Sel indicator is marked if the quote has been selected, which means at least one position has been assigned to the bidder.

The currency of the displayed prices/costs is shown in the Currency field.

The Total Price field shows the total costs of the quote, that is, the sum of all quote detail costs, packing prices, and total other costs. For the calculation of the total price, the cheapest alternate is taken into account (if alternates exist at all). Quote details for which no bid has been returned are not considered. If the Manual indicator is checked, you can manually enter the total price. The software automatically recalculates the quote detail costs and the discount amount, taking into account the discount percentage.

The index for the total price is displayed in the Price Index field. The index of the first archive entry is always 100%. If the total price is 0 (zero), the index is set to 0%. Based on this index, the indexes of all the following archive entries are calculated. So this index allows you to take a look at the development of prices and costs in the course of the negotiations with the bidder.

The Quote Detail Costs field shows the sum of discounted prices of all line items for the quote minus the discount defined on the quote summary level (assigned other costs). The discount defined on the quote summary level is applied to the net prices of the quote details.If alternates have been entered, the cheapest alternate is taken into account. Quote details for which no bid has been returned are not considered. The quote detail costs can only be entered manually if the Manual indicator has been selected. When the costs are modified, the discount amount and the total price are automatically recalculated correspondingly.

The index for the quote detail costs is displayed in the Cost Index field. The index of the first archive entry is always 100%. If the quote details costs are 0 (zero), the index is set to 0%. Based on this index, the indexes of all following archive entries are calculated. So this index allows you to take a look at the development of prices and costs in the course of the negotiations with the bidder.

The Total Other Costs field shows the sum of the other costs on the quote detail level plus other costs on the quote summary level minus discounts that have to be applied to other costs. Other costs that have been marked as evaluation costs are not included in this total. If alternates have been created for a quote detail, the other costs of the cheapest alternate are used in this calculation. Quote details for which no bid has been returned are not taken into account. You can update this field if the Manual indicator has been selected. In this case, the total price of the quote is modified accordingly.

The index for the other costs is displayed in the Other Cost Index field. The index of the first archive entry is always 100%. If the other costs are 0 (zero), the index is set to 0%. Based on this index, the indexes of all following archive entries are calculated. So this index allows you to take a look at the development of prices and costs in the course of the negotiations with the bidder.

The Discount Base field displays the base for discount calculation. Per default, the base for the discount calculation is the Discount % field. When any values such as the quantity or the unit price are modified, the value of Discount % will be used to calculate the new discount amount. If the calculation base is set to the Discount Amount value, the discount amount remains fixed and is used to calculate the new discount percentage when values such as the quantity or unit price are modified.

The Discount % field shows the discount percentage granted by the bidder. When a discount percentage is entered, the discount amount is automatically calculated. The discount is applied to the net prices of all quote details and all other costs on the quote summary level that have been marked as being discountable. In the case of alternates, only the cheapest one is taken into account.

The Discount Amount field shows the discount amount granted by the bidder. The discount amount can only be modified if the discount base has been set to 'Discount Amount'. When a discount amount is entered, the discount percentage is automatically calculated. The discount is applied to the quote details costs and the total of all other costs (discount % = (discount amount * 100) / (quote detail costs + total other costs)). In the case of alternates, only the cheapest alternate is taken into account.

The Evaluation Costs field shows the total other costs (on the quote header and quote detail level) that have been marked as evaluation costs. These costs are not included in the total other costs.

The index for the evaluation costs is displayed in the Evaluation Index field. The index of the first archive entry is always 100%. If the evaluation costs are 0 (zero), the index is set to 0 %. Based on this index, the indexes of all following archive entries are calculated. So this index allows you to take a look at the development of prices and costs in the course of the negotiations with the bidder.

The total percentage of the discount is displayed in the Overall Disc. % field. This percentage can be entered manually if the Manual indicator has been selected. In this case, the Discount Amount and Total Price fields are recalculated automatically taking into account the new value for the discount percentage. Otherwise, the percentage is determined by the total price and the overall discount amount for the quote summary on the one hand and the overall discount amount that has been calculated for the quote summary on the other hand ((overall discount amount * 100) / (total price + overall discount amount)).

The sum of the discount amounts is displayed in the Overall Disc. Amount field. Discount amounts can be found on the quote summary and quote detail level in the Discount Amount field and on the other cost level for quote summaries and quote details in the form of other costs with a negative value in the Other Cost % field. Discounts defined on the quote detail level applied to other costs assigned on the quote detail level (Discountable check box enabled) are also included in this overall discount amount. If alternates have been created for a quote detail, the discount for the cheapest alternate is used. Quote details for which no bid has been returned are not taken into account.

The index for the overall discount amount is displayed in the Discount Index field. The index of the first archive entry is always 100%. If the overall discount amount is 0 (zero), the index is set to 0%. Based on this index, the indexes of all following archive entries are calculated. So this index allows you to take a look at the development of prices and costs in the course of the negotiations with the bidder.

The Interest Rate field shows the interest rate used to calculate the cost of money.

The Restocking % field shows the restocking costs in percent.

The Escalation % field shows the percentage by which prices will increase after the validity end date of the quote.

The number of days the bidder guarantees the price is displayed in the Validity field. When you enter a validity, the validity date is automatically filled with the quote date plus the validity. If, for example, the quote date is 10-MAR-2011 and the validity is 14 days, the validity end date will be 24-MAR-2011.

The Total Weight field shows the total weight of the quote as the sum of all item weights. The unit of the weight is shown in the Weight Unit field.

The Comment field can be used to enter any comment. You can use this field, for example, to store the reason why a quote has been archived. When archiving a quote, you are asked whether you would like to enter an optional comment. But this comment can also be added or edited later on at any time.

Quote Details

On the Quote Details sub-tab, all information about the quote details is displayed

In the first (Quote Detail) block, the positions of the quote are displayed. You can use the scrollbar on the left to scroll through the positions.

In the second (History) block, the history information of the selected quote detail is displayed.

The No Comp Bid indicator shows whether this quote detail is comparable or not. This indicator is automatically set if a quote detail is split and the total of the split quantities is greater than the originally quoted quantity, or if the quantity or weight unit of the splits differ.

The Split indicator is marked when the quote detail has been split. If a quote detail has been split, the original quote detail cannot be changed any longer. Modifications (including modifications of attributes, other costs, and attachments) can only be applied to the splits.

The Sel indicator is marked if the quote detail has been assigned to the bidder.

The quantity for which the bidder has returned a bid is displayed in the Quoted Quantity field with its unit in the Quantity Unit field. All units defined for the unit groups WEIGHT, VOLUME, or QUANTITY are available and are valid values for this field. Double-click in this field to open the A.10.12 Units of Measure screen where units are defined. You can use the LOV to select a unit.

You can select the type of the unit price from the drop-down list in the Unit Price Type field. Per default, the unit price is of no type. The following values are available:

  • Including

  • Excluding

  • No Quote

  • Not Required

This unit price type information is meant to be used for spare parts.

The price per unit of the line item is shown in the Unit Price field.

The price to be paid for the supply of a unit (quantity = 1) is shown in the Supply Price field.

The price to be paid for installation of a unit (quantity = 1) is shown in the Install Price field.

The Price Index field displays the index for the unit price. The index of the first archive entry is always 100%. If the unit price is 0 (zero), the index is set to 0%. Based on this index, the indexes of all following archive entries are calculated. So this index allows you to take a look at the development of prices and costs in the course of the negotiations with the bidder.

The Extended Price field shows the extended price. If the price base is QTY-UNIT, the extended price is the result of the multiplication of the quantity with the unit price. If the price base is WEIGHT-UNIT, this extended price is calculated as the product of the quantity, the unit price, and the unit weight. When the extended price is calculated, the precision that can be set for currencies on the A.10.12 Units of Measure screen is taken into account. If, for example, the precision for a currency is set to 1, the price base is 'QTY-UNIT', the quantity is 10.25, and the unit price is 1.2345, the extended price will be 12.70 instead of 12.65. If you update the extended price, the unit price is recalculated taking the price base into account.

The index for the extended price is displayed in the Extended Index field. The index of the first archive entry is always 100%. If the extended price is 0 (zero), the index is set to 0%. Based on this index, the indexes of all following archive entries are calculated. So this index allows you to take a look at the development of prices and costs in the course of the negotiations with the bidder.

The Other Costs field shows the sum of all other costs that are attached to this line item. If the currency of an other cost differs from the currency of the line item, the cost value is converted to the currency of the line item using the factor that has been defined for this inquiry on the Exchange Rates tab of the P.30.21 Prepare RFQ screen, If no factor is provided by the inquiry cycle, the conversion factors of A.10.13 Unit to Unit are applied. If no factor can be found, a warning appears and no value is displayed in the Other Costs field.

The index for the other costs is displayed in the Other Cost Index field. The index of the first archive entry is always 100%. If the other costs are 0 (zero), the index is set to 0%. Based on this index, the indexes of all following archive entries are calculated. So this index allows you to take a look at the development of prices and costs in the course of the negotiations with the bidder.

The currency of the displayed prices/costs is shown in the Currency field. All currencies defined on the A.10.12 Units of Measure screen for the unit group CURRENCY can be placed here. You can double-click in this field to open A.10.12, and you can use the LOV to select a unit.

The Price Base field shows the price base of the quote detail; it can be either quantity unit or weight unit. If the price base is weight unit, the costs will be calculated using the unit weight and the quantity; otherwise, the costs will be calculated using the quantity only.

The weight for a quantity of 1 (one) as specified by the bidder is displayed in the Unit Weight field, with its unit in the Weight Unit field. All units that have been defined on A.10.12 for the unit groups WEIGHT and QUANTITY are available and are valid values for this field. You can double-click in this field to open A.10.12, and you can use the LOV to select a unit.

The Total Weight field shows the total weight, which is calculated as the product of the quantity and the unit weight. If you update the total weight, the unit weight is recalculated.

The index for the restocking price is displayed in the Restocking Index field. The index of the first archive entry is always 100%. If the restocking price is 0 (zero), the index is set to 0%.

Based on this index, the indexes of all following archive entries are calculated. So this index allows you to take a look at the development of prices and costs in the course of the negotiations with the bidder.

The Modification Price field shows the price to be paid if modifications are applied to the item.

The index for the modification price is displayed in the Modification Index field. The index of the first archive entry is always 100%. If the modification price is 0 (zero), the index is set to 0%. Based on this index, the indexes of all following archive entries are calculated. So this index allows you to take a look at the development of prices and costs in the course of the negotiations with the bidder.

The Packing Price field shows the price for packing the item.

The index for the packing price is displayed in the Packing Index field. The index of the first archive entry is always 100%. If the packing price is 0 (zero), the index is set to 0%. Based on this index, the indexes of all following archive entries are calculated. So this index allows you to take a look at the development of prices and costs in the course of the negotiations with the bidder.
