If a company was taken over by another company or two companies have merged, you can use the Merge Company functionality to reflect this situation in Smart Materials.

Click the button to merge two companies.

Select the first company from the LOV in the Company field in Window 4, and then click the Continue button.

Select the second company from the LOV in the Company field in Window 5, and then click the Continue button.

Window 6 opens with several tabs displaying all the data related to both selected companies. The first company is displayed with all its information on the left side, and the second company is displayed on the right side of the screen. You can find Sel check boxes on the tabs to select the data to be preserved. If the Sel check box of the data assigned to the dissolved company is not selected when starting the merger, this information will be lost. On most tabs, the buttons Select All and Unselect All are available to select all the records or to cancel the selection.

On the Company Types tab, the assigned company types are displayed. Select the Sel check box for all items to be preserved.

On the Addresses tab, the assigned addresses are displayed with the communication links. Select the Sel check box for all items to be preserved.

Click the Show Complete Address button to open Window 7, which displays all address fields as shown in the picture below. Close the window to continue.

On the Contacts tab, the assigned employees are displayed with communication links. Select the Sel check box for all items to be preserved.

On the Descriptions tab, the assigned Short Desc and Description values are displayed. Select the Sel check box for all items to be preserved.

On the Others tab, the assigned Parent Company, Project Context, Key Word, and Symbol Code values are displayed. Select the Sel check box for all items to be preserved.

On the Usages tab, you can see where in Smart Materials the selected companies are used. For each usage of the dissolved company, you must decide whether you want to switch its usage or not. In detail, if you do not replace the usage, the company associated with an object remains unchanged. As a consequence, the company is not deleted at the end of the merging process, but its code is updated instead. This is done to clearly show the user that this company is in fact deleted and obsolete and only kept for historic reasons. The company code is changed in such a way that the company always appears at the end of list of values to prevent it from being selected for additional usages.

The check boxes are displayed depending on the actual usage of the company in Smart Materials. The list below describes all available check boxes and the usage of the company in the software.

When working with company registration via E-Supplier and screen P.20.02 Login Requests, a company is created at the end of the approval process.

Company History

Company history exists on the A.10.23 Companies screen.

Load Formats

Company is assigned to a load format on the A.10.37 Load File Formats screen.

Estimations

Company is assigned to estimation(s) on the E.10.02 Estimations screen.

Estimation Bases

Company is assigned to estimation base(s) on the E.10.01 Estimation Bases screen.

Estimation Updates

Estimation update(s) defined for the company on the E.10.12 Estimation Updates screen.

Price Lists

Company is assigned to price list(s) on the AS.10.05 Price Lists screen.

Price Types

Company is assigned to price type(s) on AS.10.02 Price Data screen.

Ident Value Types

Company is assigned to ident value types on the AS.20.01 Value Type Definition screen.

Company Commodity Groups

Company is assigned to company commodity group(s) on the S.10.C.01 Company Commodity Groups screen.

Company Parts

Company is assigned to company part(s) on the S.10.C.02 Company Parts screen.

Company Object Parameters

Company is assigned to object parameter(s) on the S.10.C.04 Company Object Parameter screen.

Company Table Details

Table details are defined for the company on the S.20.C.01 Company Group with Detail screen.

Company Table Groups

Table groups are defined for the company on the S.20.C.01 Company Group with Detail screen.

Company Commodity Codes

Company commodity code(s) are created for the company on the S.30.C.01 Company Dependent screen.

Company Idents

Company Ident(s) are created for the company on the S.80.C.01 Company Idents screen.

Company Spec Headers

Specification headers are defined for the company on the S.50.C.01 Specification Header Companies screen.

Company Spec Items

Specification items are created for the company on the S.50.C.02 Specification Item Companies screen.

PDS Configuration

Company is assigned to a PDS configuration on the PDS 10.01 Configure PDS screen.

Project (Company Idents)

Company is set on the A.20.12 Project Defaults screen to display the company idents of this company on screens such as R.30.01 Maintain Requisitions or P.50.07 Maintain Agreements. If you use this feature and want to continue to use it, you must replace the usage for the company to be dissolved.

When the merge is performed, the involved views are re-created.

BOM Import Jobs

Company is assigned to BOM import job(s) on the B.40.01 BOM Import screen.

OPI Import Jobs

The company has been used for mapping idents within an OPI job on the OPI 10.01 OPI - Import Jobs screen.

Supplier

The P.20.01 indicator is checked on A.10.22 Company Types for a company type assigned to this company.

Suppliers are maintained on the P.20.01 Suppliers/Subcontractors screen.

Supplier Manufacturers

Company is assigned to a supplier as its manufacturer on the P.20.01 Suppliers/Subcontractors screen.

Agreement Addresses

Company address(es) are assigned to agreement(s) on P.50.07 Maintain Agreements screen.

Warehouses

Company is assigned to warehouse(s) as subcontractor on the C.10.02 Warehouses screen.

Project Subcontractors

Company is defined as project subcontractor on the C.10.22 Project Subcontractors screen.

MIR

Company is assigned to material issue reports (MIRs) as a subcontractor in the Site module on the C.20.21, C.20.22.01, C.20.22.02, C.20.23.01, or C.20.23.02 screens.

Reallocate Issue Reports

Company is assigned to material reallocate issue reports (MRIs) on the C.20.28 Reallocate Issues screen.

Container Returns

Company is assigned to container(s) on the C.20.36 Maintain Container Returns screen.

For each link of a company to an object within the software, you must select the Replace Usage check box if you want to replace its usage. That is, if you dissolve company 2 and select Replace Usage for company 2, all usages of company 2 are switched to usages of company 1.

Replacing usages can lead to unique key violations. Before actually performing the merge, the software checks for such violations. If any violations are found, the kind of violation is displayed to allow you to change the selection and to restart the merger. If no usage can be found, the message 'No usages found' appears instead.

On the Merge Conditions tab, you must select the merge option. For ‘Create new company’, you must enter the code and the name of the new company in the Company and the Company Name fields. With this option, the procedure creates a new company and dissolves both selected companies; both existing companies are deleted at the end of the merging process.

If you choose ‘Dissolve Company 1’, the usage of the selected company 1 switches to the selected company 2, and company 1 is deleted. If you select this option, you do not have to select anything for company 2 on the previous tabs. In the example shown in the picture above, the company RS003 is dissolved and deleted, and all of its information is transferred to RS666.

The ‘Dissolve Company 2’ option switches the usage of the selected company 2 to the selected company 1, and company 2 is deleted. If you select this option, you do not have to select anything for company 1 on the previous tabs.

Start the merge process by clicking the Merge button.

If the merger can be performed without detecting any uniqueness conflicts, the message below appears.

Otherwise, Window 8 opens, showing you the conflicts in detail. Then you can decide how to perform the merge or renounce the merger.

Click the button to go back to the previous window. Change the selections to avoid the uniqueness violations, and then click the Merge button again.

You can use the button to see uniqueness violations in detail.

When you click this button, full details on all violations that have been found are listed on Window 15. You can use this list to decide how or if the merge should be continued, and you can also use this information when cleaning up data. We recommend that you copy this list to an editor or an Excel sheet to check the individual violations on the named screens. Click the button to close Window 15.

Alternatively, you can click either the button to cancel the procedure or the button to continue without correcting the merge conditions.
