The following screenshot illustrates the workflow that a permit can go though as it moves from Adding to Complete.

  • This section explains the default statuses configured for permits. Your status workflow might be different if your company has adjusted the default workflow.

  • The user permissions (assigned roles) aren't addressed in this overview. For details on what user permissions are required for each action, refer to the individual state topics (Permit workflow states).

  1. Select Add next to the permit type you want on web client (or mobile add on Mobile) to create a permit. The status of the permit is Adding.

  2. Complete the required fields and any other work details, and select Save. The status of the permit changes to Drafting.

  3. Complete the required fields and the risk assessment, and select Submit Request. The status of the permit changes to Requested.

  4. If the details on the permit need to be revised, select Send for Revision. The status of the permit changes back to Drafting.

    If the work shouldn't be completed or if there's already another permit that addresses the work, select Cancel. The status of the permit changes to Cancelled.

    If the details on the permit are accurate, select Approve. An Approval window appears.

    • Set the Valid From and Valid Until dates, sign, and select Confirm. The status of the permit changes to Approved.

    • If the Valid Until date is past while the permit is in the Approved state, the status of the permit changes back to Requested.

  5. A hot work permit can require gas tests.

    To capture the gas test details, select Initial Gas Test. The Initial Gas Test window appears.

    • Enter the test details, sign, and select Confirm. The permit is still in the Approved state.

    • When gas testing is required, the permit can only be issued after the Initial Gas Test has been completed.

  6. If the details on the permit need to be adjusted, select Revert to Preparing. The status of the permit changes back to Drafting.

    Ensure that all the necessary isolations and certificates are in place, and select Issue. The Issue window appears.

    • Set the Work Allowed Until date, sign, and select Issue. The status of the permit changes to Issued.

    • If the Work Allowed Until date is past while the permit is in the Issued state, the status of the permit changes back to Approved.

  7. Confirm that you know and understand the work and its potential hazards, and select Accept (or Accept DFT). The Accept Permit window appears.

    • Sign and select Accept. The status of the permit changes to Live (or Live DFT).

  8. If the work takes longer than the Work Allowed Until date (Issue date) allows, the status of the permit changes to Overdue (or Overdue DFT).

    • To extend the work period, select Extend Work Period. The Extend Work Period window appears.

    • Enter a new Issued Until date, sign, enter a reason for the extension, and select Confirm. The status of the permit changes back to Live.

    • If the Valid Until date is past while the permit is Issued, Live or Overdue, the status of the permit changes to Expired.

  9. If the work needs to be suspended (for example, due to bad weather), select Suspend.

    If the work needs to be tested (for example, the work is complete, but it needs to be tested before the job is complete), select Suspend for DFT.

    • The Suspend window appears. Enter a reason for the suspension, sign, and select Confirm. The status of the permit changes to Suspended or Suspended DFT.

    • If the Valid Until date is past while the permit is in the Suspended state, the status of the permit changed to Expired.

  10. If the suspended work can be re-issued, select Re-issue. The Re-issue window appears.

    • Set the Issued From and Issued Until dates, sign, and select Confirm. The status of the permit changes to Re-issued.

  11. If the work can't be completed (for example, an unforeseen issue requires a part that needs to be ordered), select Job Incomplete. The Close job as incomplete window appears.

    • Confirm that the job site and equipment have been left in a safe condition, comment, sign, and select Confirm. The status of the permit changes to Job incomplete.

    If the work is completed, select Job Complete. The Close job as complete window appears.

    • Sign and select Confirm. The status of the permit changes to Job complete.

  12. Confirm that the work site is clear and safe, and the de-isolations are complete, and select Complete. The Closeout window appears.

    • Sign and select Confirm. The status of the permit changes to Complete.
