Permits, certificates, and isolations forms have a set of preconfigured types (for example, the preconfigured permit types are Hot Work, Cold Work, and Breaking Containment). New CoW types need to be configured for template designs that manage work not addressed by the existing types. For example, you might want to create a permit that only handles radioactive material work. To create the permit design, you first need to create the Radioactive Material Work permit type.

The form types are configured on the CoW types configuration pages. These pages are accessed from the Configuration menu in the navigation bar.

To add a type:

  1. Click Add

  2. Complete the input fields:

    • ID – This is the unique identifier for the type. This is not visible to the end user. It can match the type’s label. After the type has been saved, this input box can’t be edited. In this way, the label and other configuration boxes can be adjusted, while the ID remains constant.

    • Label – Appears in the type’s module next to its Add button and in the form’s description.

    • Prefix – Allows for the quick identification of the form type in its module. This is part of the identifying number for the form.

    • Color – Allows for the quick identification of the form type in its module. This color also appears on the schematic, timeline, and calendar views for each form with this type.

    • Order – Determines the order of the Add buttons in their module.

    • Disabled – Determines if the type is disabled. When a type is disabled, the Add button for that type disappears from its module. This is useful when the type is only used periodically or if it’s not relevant for a particular installation – the type can be easily disabled or enabled when required.

      In the Permit Types configuration module, two additional configuration input boxes appear:

    • Max. Validity Period (days)* – The maximum length of time (in days) allowed between the valid start date and end date. (These dates are configured in the permit’s Area Authority Approval section.) The default setting is 7 days.

    • Max. Duration (hrs)* – The Work Allowed Until date (in the Issue section) can’t be more than the configured number of hours in the future. The default setting is 12 hours.

  3. Click Save

We recommend that you only use one type per form. There are some limitations when multiple types are used per form (for example, you can't filter by the custom subtype, subtypes cannot be associated with different colors and so on).

If there is a need to have a shared form, we recommend the following:

  • Configure different CoW types.

  • Use identical form designs for each type. You can make category-specific input fields or sections appear only for their category (conditional visibility). The Category field is automatically populated with the form's type when the form is created.

  • When you need to adjust the form designs, edit one of the forms and then copy and paste the new form design to the other types that use the same design.
