Only a Business Administrator can reassign tasks from one user to another. For more information on reassigning ownership to another user, see Transfer ownership of items from one user to another.

You can use Task Reassignment Configuration to permanently transfer the ownership of objects owned by one user to another user, such as workflow steps, matrices, subscriptions, and documents. Temporary reassignment only transfers the ownership of objects to another user for a designated period of time.

What happens if a user is removed from a role?

If a user is removed from an assigned role in an existing workflow, the user is informed that all their claimed steps are terminated from the system, and the tasks are removed from their To Do List. The steps are automatically reassigned so that they can be claimed by other users with that role assignment.

However, if a user is disabled or terminated, the business administrator must reassign all the user's claimed tasks so that the workflow steps can continue on the workflow path.

Any completed or previously reassigned user workflow steps are not terminated and continue on the workflow path.

Can a user be permanently disabled and their tasks reassigned?

Yes. When a user is moved, reassigned to another project, or leaves the company, a business administrator can permanently reassign Items owned by the user to other roles or users by selecting the Permanent Reassignment option. Items that can be transferred to another user are workflow steps, matrices, subscriptions, and documents. You can completely disable the user from any items or task interaction by clicking Disable User.

If the user has access to the Web Client, the user's actions and technical queries can also be reassigned.

  1. In the Business Administration feature set, select Task Reassignment Configuration.

  2. Search for the user for whom you want to reassign items.

  3. Select the user from the list, and enter the From Date and To Date during which workflow tasks are temporarily assigned to another user. To permanently transfer tasks, select Permanent Reassignment.

  4. In Assignee Filters, select the role criteria, Same Role, Managed by Role, Manage Role, or Any Role, to filter the list of users to those that can be assigned workflow steps.

  5. In Assignee Selection, search for and select the user to which you want to reassign the items using one of the following:

    • In the Project row, select a user from the Assignee list in the row. This user is assigned the workflow tasks only for that project. You can select different users for each project.

    • Click Assignee options, and select a Common Assignee. A Common Assignee is a user that has a common role across a single project or multiple projects and can be assigned your workflow tasks for all projects based on that common role.

  6. Select FINISH.

  • You can clear an assignment by selecting the user, and clicking Clear Reassignment.

  • The status of a reassignment is indicated by the following icons:

    - Temporarily Reassigned User

    - Permanently Reassigned User

    - Permanently Reassigned and Disabled User

SHARED Tip For temporary reassignments, when the original owner returns to the office, they can run the My active workflow reassignments report or My Document Review Assignments report to see the current status of any workflow steps that were assigned to their deputy. They can then ask their deputy to manually reassign any uncompleted workflow steps back to themselves.
