Before creating a new template, create any new step classes, definitions, statuses, check lists, and reasons for receipt that will be required. For more information about the process of creating a customer workflow template, see Creating a new workflow template.

To create or update a workflow, users must be a member of the WorkflowAdmin group.

The same form is used for both creating and updating workflow templates.

  1. Click File > New > Workflow > Workflow Template in the Desktop Client.

    You can also right-click the workflow in the Desktop Client, and click Update in the shortcut menu.

  2. Type a unique name and description for the new workflow template.

    This form is also available in several other ways as well. It can also be used to update a workflow template or to show details.

    You can also edit and view instantiated workflows with this form.

    This means any changes that can be made to a template can be made to an instantiated workflow with the following exceptions:

    • An instantiated workflow has no condition.

    • It is not possible to alter the transmittal issue step on an instantiated workflow.

    • It is not possible to change a step that has already started. 

  3. To display the Reassign to Participant list, type * or other suitable search criteria in the Reassign to Participant search box, click Find, and then select the participant from the list.

    • The Submitter represents the person who submitted the object to the workflow.

    • If multiple recipients are assigned to a step and even one recipient rejects the step, then the object in the workflow is sent back to the user specified in the Reassign to Participant property in the workflow template. However, if you use a voting step to calculate the number of accept and reject responses, you can set a threshold that, when met, allows the workflow to continue with the correct accept or reject path, rather than being reassigned to another user.

    • A step is not reassigned to a participant if it has a single success step and that success step is not a voting step.

  4. To display the Conditions list, enter * or other suitable search criteria in the Condition search box, click Find, and then select a condition from the list.

  5. If you want to disable all e-mail notifications to the recipients associated with this workflow, select the No E-mail check box.

You must attach the workflow to an interface definition so the workflow is available for all objects or classes associated with the interface definition.
