  1. Click Prepare RFQ > Bidders.

  2. Click Assign Bidders.

    A dialog opens displaying all available bidders.

  3. Optionally, use the boxes on top of the page to define filter criteria and click Apply Filter.

    If materials or services are assigned to the inquiry, filter on Material or Service is restricted accordingly.

    Alternatively or in addition to this, you can use the standard grid filter functionality.

  4. Select the checkbox and click OK to assign bidders.

  5. If a CMS class is assigned to the inquiry, you can click Populate from CMS to insert all bidders that are assigned to this class.

    The button is only available if materials in the inquiry and in the CMS class is matching and if not all bidders from the CMS class have been inserted.

  6. If the inquiry is based on a planned requisition for which suggested bidders are specified, you can click Populate from Planning to insert these suggested bidders.

    The button is only available if not all suggested bidders from the planned requisition have been inserted.

Edit bidders

  1. If required, change the Buyer.

    On assigning bidders to an inquiry, the inquiry's buyer is entered.

  2. Set Evaluated to Yes if the bidder has been evaluated with respect to his qualifications.

  3. Set Accepted to Yes to indicate that the bidder is accepted.

  4. To set a specific bid due date to the bidder, enter this date in the Bid Due Date cell.

    This date is considered in Portal instead of the inquiry bid due date or revised bid due date.

    • The time portion of bid due date is displayed according to your computer's regional settings > time zone.

    • If project default ZP_INH_BDD is set to Y, the bidder specific bid due date is copied from the previous supplement on creating a new inquiry supplement.

  5. Enter the Incoterm, Delivery Place and Required Delivery Date.

  6. To change the bidder's user assignment to the inquiry, do the following:

    1. Click the link in Portal Users.

    2. Select Yes in the Select cell to assign the user.

    3. Click Save and close the dialog.

    If the inquiry is assigned to a specific user, the user name is displayed in Portal Users. If more than one but not all users are assigned, 'See user list' is displayed. If no restriction is defined, 'All users' is displayed. Only the selected user(s) can access this inquiry in the Portal.

  7. If required, select a Bidder's Contact.

  8. To change the email recipients for the bidder, do the following:

    1. Click the link in Email Recipients.

    2. Select Yes in the Select cell to assign the company employee.

    3. To add a recipient who is not listed, click Add Row, select Yes in the Select cell, type his First Name, his Last Name and his email address in the Address Value cell.

    4. Click Save and close the dialog.

    Emails for this bidder are sent to addressees shown in Email Recipients. By default, it's the bidder's main contact. If the main contact doesn't have an email address assigned with communication type RFQ_EMAIL, 'No default RfQ contact' is displayed. If more than one recipient is assigned, 'See contact list' is displayed. To view the email recipients, click the Email Recipients link and filter for Yes in the Select column.

    SHARED Tip To view all email recipients of all assigned bidders, click Email List.

  9. Select the Manufacturing Company.

  10. Select the company address from the list in Address Type.

  11. Select Yes in NDA Exemption to allow the bidder to provide a bid for this inquiry although an Non-Disclosure Agreement (NDA) is required and the bidder’s NDA status does not entitle participating in the bidding process. The current bidder's NDA status is shown in NDA Status.

    Signing and submitting NDA is required for a project if project default ZP_NDA is set to Y.

  12. Click Save.

Approve bidders assignment

Approval is only available if project default ZP_BIDEVAL is set to Y.

  • Click Approval Sequence.

Configure Approval Sequence

To define the approval sequence, do the following:

  1. Select Configure Approval Sequence.

  2. To use an existing template for the approval sequence, select Use Template, select a template from the Approval Template list, and select Copy.

  3. In the Configure Approval Sequence dialog, select Add Row.

  4. Enter the sequence number in the Seq cell.

  5. Select a User from the list.

  6. Select a user Title from the list.

  7. Optionally, select a Distribution Category from the list.

  8. Select Save.

  9. To define approval prerequisites for a user, select the user name in the User cell and do the following:

    1. Select Add Row.

    2. Enter the sequence number in the Seq cell.

    3. Select a User from the list.

    4. Select Save and close the dialog

    Yes is shown in Prerequisites. This means, the approvers defined as prerequisites must have approved before the user can approve.

  10. Close the Configure Approval Sequence dialog.

Approve or Reject

To approve or reject, do the following:

  1. In the Approval Sequence dialog, select your user name.

  2. Optionally, enter a Comment and select Save Comment.

  3. To attach a document, select Upload > Browse in the Upload dialog, select a file and close the dialog.

  4. Select Approve to approve or click Reject to reject.

SHARED Tip If you have the ENFORCE APPROVAL privilege, you can select Enforce Approval to enforce an approval though not all persons on the approval sequence have approved.

Reverse Approval

To reverse an approval, do the following:

  1. Select Reverse Approval.

  2. Enter the reason for reversal in the Reason box.

  3. Select Reverse Approval.
