  1. Locate the work package or work step .

  2. Click options > Edit and make the required changes.

    • In Scheduling, you can edit only a limited fields of a work package like Discipline, Purpose, Weightages, Assignees, Model elements, Attachments, and Comments. However, you can edit all the fields in Production Planning.

    • You can also edit the weightage of a WBS, work package, or work step in the schedule grid by double-clicking in the respective cell. However, you cannot edit the weightage of a work step if it is a cost based weightage as it is auto allocated.

How do I update the progress of a work package or a work step?

  1. On the work package that you want to update, click Options > Update progress.

  2. Make your changes:

    In the Update progress window, click Start next to the work step.

    Update a work package that does not have steps

    In the Update progress window, click Start.

    You cannot delete the actual end date when the work step progress is 100%.

    You cannot delete the actual start date when the work step progress is greater than 0%.

    Update your progress on a work step

    1.

    Click Edit ICON Edit Progress next to the work step.

    2.

    Select the actual start date and time.

    3.

    Enter progress % or quantity depending on the progress type you chose when creating the work step.

    You can update the actual end date and time, only when the work step progress is 100%.

    You cannot delete the actual end date when the work step progress is 100%.

    You cannot delete the actual start date when the work step progress is greater than 0%.

    4.

    Click Save.

    SHARED Tip You can round off the percentage to the nearest of five by clicking ICON_Update progress Up arrow or ICON_Update Progress Down Arrow arrows inside the Progress box.

    Set all work steps in a work package to done

    Turn on the Mark all as complete toggle.

    The software updates the progress of all the work steps under that work package to 100%.

    The software also updates the actual end date of the work steps with the current date. However, you can manually change these dates, if required.

    What happens to start or end dates of a work package when I update the actual start date or actual end date?

    When you update the actual start date of a work package, the application populates the same date as current start date. The current end date is calculated considering the current duration with this new current start date. When you update the actual end date, the application populates the same date as current end date and the current duration is calculated considering the current start date and the newly updated current end date.

    The expected progress is calculated based on the updated dates if you have selected Current dates in preferences to calculate the progress.

    If you update the progress of a schedule item in Scheduling, the application will not update the current dates with the actual dates. Therefore, when you publish the schedule to P6, only current dates are published but not the actual dates.

  3. Select the expected end date and time.

    You can only update the expected end date of a work package which is not 100%.

  4. Click Update.

What does it mean if I can't make changes to a work package?

When you canā€™t make changes or are unable to see the Update progress option for a work package, it probably means that the work package is closed.

What happens to the child work steps if I change the work package start date?

If you do this

All the child work steps dates according to the work package start date.

Change the work package start date and extend the duration

All the child work steps dates according to the work package start date.

  • In the production planning timeline, the application appends additional duration at the end of the work package container.

  • In the project schedule Gantt view, the application appends additional duration at the end of the work package bar.

Change the work package start date and then reduce the duration

All the child work steps dates according to the work package start date. In the production planning timeline, the work steps that extend beyond updated work package dates are shown as hanging work steps.

How do I assign weightage to a work step?

The application automatically calculates the work step weightages when you assign or update quantities and resources to it.

Assign quantities

To use quantities from cost items:

  1. Go to Scheduling or Production Planning .

    Any changes made in Scheduling will not be reflected in Production Planning unless you copy it to the Production Planning.

  2. Locate the work step and click Options > Edit.

  3. For the Update progress by option, select Quantity.

  4. Select the Cost item quantities option.

  5. Click the Allocate cost item quantity > View/Modify cost items option to assign the quantities for the work step.

    • This option is available only if the work packages and cost items are mapped.

    • You can further filter the cost items using the column filters.

      1. Select Filter on the column header.

      2. Enter the operator and enter the value.

      3. Click Apply.

      For example, if you want to view only the cost items having assigned quantities:

      1. Click Filter on the Assigned WP qty column.

      2. Select Greater than from the operator list.

      3. Enter 0 in the Value box.

      4. Click Apply.

  6. In the Allocated cost item quantities window, choose an allocation method.

    Which allocation method should I choose?

    Remaining qty

    If you want to allocate quantities based on what's available in the Remaining qty column, choose the Remaining qty method. The Remaining qty column shows how many quantities are remaining from the total assigned quantities for allocation.

    Assigned WP qty

    If you want to allocate quantities based on what's available in the Assigned WP qty column, choose the Assigned WP qty method. The Assigned WP qty column shows the quantities that are calculated based on the cost distribution weightages (CDWs) assigned to the work package.

    The following example explains how the quantities are calculated based on the work package cost distribution weightage.

    For example, consider that work packages A1011 and A1012 are mapped to the cost item C10011. The total quantities available for C10011 are 500 pieces. Let's assume that while mapping the work packages you have assigned 40% CDW to A1011 and 60% CDW to A1012 work packages, respectively. So, the cumulative CDW for the cost item C10011 is 100%.

    Based on the assigned CDWs, 200 pieces (40% of 500) are automatically available for the A1011 work package, and 300 pieces (60% of 500) are automatically available for the A1012 work package. You can then allocate these quantities to the work steps as necessary.

    You can assign the CDWs using 5D Management . For more information see, How do I assign cost distribution weightage (CDW)?

    SHARED Tip You can automatically allocate the remaining quantities instead of manually typing the value. To do so, click Allocate remaining quantity . If you change your mind, you can reset the value. To do so, click Reset and type the required quantity.

  7. Choose how you want to assign the quantities.

    To assign quantities

    Manually

    Turn off the Roll-up quantities toggle.

    In the respective Planned quantity cell, type a value.

    You can allocate the quantities either to the parent or the child cost items as they are independent of each other.

    Automatically

    Turn on the Roll-up quantities toggle.

    The application allocates quantities from cost items with similar UOMs.

Then, add resources to the work step

You can add resources of categories such as equipment, labor, material, and subcontractor to the work step either from the Smart Build Insight resource library or the imported cost data.

If you want to add resources

Do this

From Smart Build Insight repository

Click Add and select the necessary resource type.

From the cost data that you imported

  • To automatically add all the resources associated to the selected cost items, click Auto populate.

  • To add only specific resources manually, click Add > Add from cost items.

These options are available only if you've allocated the quantities from the selected cost items.

SHARED Tip You can use the column filters in the resources tables to see only the items you're interested in.

  • Cost on the work step is derived from the cost of the allocated resources, whereas the weightage of the work step is calculated based on the available cost of the parent work package.

  • Similarly, if the there is a change in quantities or resources of a work step, the application automatically updates all the schedule weightages accordingly.

How do I view the auto-calculated weightages of a work package?

  1. Go to Scheduling or Production Planning .

  2. Expand and locate the necessary schedule item, such as a WBS item, work package, or work step.

  3. Click Options > View details.

  4. In the View details panel > Properties tab, the Cost based weightage property shows the latest schedule weightage. For a WBS item, it shows the rolled-up values.

The cost-based weightage is the percentage of cost allocated for that schedule item from the total cost of the entire project.

How do I see the cost information of a work package?

  1. Go to Scheduling or Production Planning .

  2. Expand and locate the necessary work package.

  3. Click Options > Edit.

  4. Expand the Cost information section.
