This functionality was modified in an update. For more information, see Create a data book chapter (modified in an update) and Relate documents and tags to a data book chapter (modified in an update).

You can create and order chapters in your data book.

  • In the Data Books feature set, select the data book, and then select Actions > Manage Data Book.

Only the data book owner can manage a data book. The data book owner is one or more user(s) selected from the Item owner(s) list for the data book or the user who created the data book if an owner was not selected.

Edit the description

  • Select Edit > Edit edit 2 to edit the description of the data book or its chapters.

Create a chapter

You can create two types of data book chapters:

  • Dynamic - Displays the latest version of the attached document.

  • Static - Displays a specific version of the attached document.

To create a data book chapter:

  1. Select CreateDataBookChapter to add a new chapter.

  2. Type the required information, and select the Chapter Type from the list.

  • You can view the description of the data book chapters and sub-chapters from the data book's tree view, provided if the description exists for the chapters or sub-chapters.

  • You can expand or collapse the data book structure at chapter and data book level.

The data book chapter(s) and sub-chapter(s) which has content are indicated by the icon databook with content. An empty data book chapter or sub-chapter is indicated by the icon Empty data book.

Reorder chapters

  • Select Reorder Reorder and drag the data book chapters to where you want to see them in your data book.

  • You can also reorder data book chapters from the Data Book Chapters feature.

  • When a consolidated PDF is generated, the chapters are included in the selected order.

Relate objects to the data book

  1. Select CreateNewRelationship to relate objects to the selected data book or chapter.

  2. In the Relationship Builder page, select the Search tab, and search for the objects to relate, such as documents, assets, models, or tags.

  3. Select the required objects, followed by Relate.

    The Search feature only displays objects that can be related to the selected data book or chapter type.

SHARED Tip The objects related to the data book and its chapters can be filtered so that you can easily find the related items.

  • The data book is related to its chapters and their sub-chapters.

  • For any data book chapter, you can perform the following actions on the related documents and tags:

    • To sign off one or more documents, select corresponding document(s), and click Actions > Sign Off.

    • To edit tags and their property values, select corresponding tag(s), and click Actions > List Editing > List Edit.
