In the collaboration process, a rendition is an alternate representation of the original document version that is created during the document review consolidation process. Each rendition object is an alternate document version that is linked to the PDFs generated from the original file. Every alternate rendition contains the markups and data applicable to a specific action or technical query. Each rendition file:

  • Records exactly what is issued to the contractor in a PDF with any embedded markups, action pins, watermarks, and labels.

  • Creates relationships to the original document and the project communication on which the rendition is issued.

  • Maintains access control so the recipient contractor can view and markup only renditions associated with their communication items.

During consolidation, the consolidator reviews the markups using the Manage action markup layers dialog box and selects the applicable markups for each action in the document rendition object. The contractual compliance specialist then reviews the markups for compliance using the Manage action markup layers dialog box and communicates with the consolidator to reach agreement on the final rendition.

After agreement is reached, the final PDF rendition of the document is created by a workflow process step. The document has separate rendition objects for each action to ensure that the contractor sees only the markups that are relevant to each action in their communication.

  • If a single document is related to multiple concurrent work streams, you can potentially have multiple markups on the files for different purposes. A rendition object is created for each purpose filtering out any markups that are not relevant.

  • The creation of a rendition file also applies to a standalone technical query or action outside of the document review process. The originator selects the relevant markups to be made into the rendition and on completion, a process step submits the rendition object to a workflow to create the PDF rendition.
