Designing the hierarchy may be the most important aspect of your implementation. Mistakes here will impact the implementation for years to come. Keeping the above definitions of the different equipment types in mind use the following guidelines:

  1. The position is the basic building block of the hierarchy.

    You can never go wrong with this choice. For every asset that was ever created, build, installed, there always was a design before that.

  2. Only create an asset if it will be tracked. This means the pump, or the motor may be moved from one position to another. These movements also include store issues and returns.

    If you have no intention of moving the asset, do not create one. Just creating the Position is sufficient.

  3. The system is not a primary hierarchy element.

    Systems can be used for secondary hierarchical relationships once the main hierarchy is in place. The main hierarchy should consist of Positions and Assets.

  4. The location should not be used to create work orders.

    Location is used as an aid in finding equipment. If work must be performed on a ‘location’ on a regular basis, then define that ‘location’ as a Position.

  5. Only deviate from these rules if you have good reasons to do so.
