The Equipment Generation screen has the following important attributes:

  1. Session—Automatically assigned sequence number.

  2. Description—Session name.

  3. Organization—Select the organization for which you want to generate the equipment and the commissioning work orders. The organization cannot be a common organization. This constraint is more for the commissioning work order because you can still create the equipment in the common organizations depending on the setting of the selected configuration.

  4. Processed—Flag that indicates the session is processed. This normally means all requested equipment was created. It can also indicate that a process error occurred, and you decided to manually close the session. In that scenario, not all equipment may be generated. Once processed, a session cannot be used to further generate equipment and you can delete processed sessions.

  5. Active—This means that the Generate Equipment button on the Preview tab was clicked at least once. The session may be waiting on one of the drivers to start the generation process.

  6. Awaiting Purchase—The session has one or more pieces of equipment on the Preview tab that were generated with a status of "Awaiting Purchase," but has not been received yet.

  7. Process Error—Something went wrong during the generation process. Check the Preview tab for any records that have an Error flag set. The error messages are visible on that tab as well. If you have found the problem and are able to fix it, you can restart the generation process by clicking the Generate Equipment button on the Preview tab.

  8. Process Running—If the generation process runs in asynchronous mode, this flag is set when the process is started and will remain flagged while the process is running and until it has completed successfully or has encountered an error.

    If any of the above check boxes are flagged, the fields on this screen will be protected. If none are selected, you can apply any updates and delete the session.

  9. Process Last Updated—In asynchronous mode, this field will be set each time the process generates a complete equipment structure. If the request is to generate 10 buses and each bus has 2 child assets, this flag will be set each time a bus and its two children are created. In total, the flag would be set 10 times.

    This field is used to automatically restart the process after 60 minutes of no activity, but only if an error was not found. For example, the process was creating the first child of bus 3 and at that time a power failure stopped the server. After the reboot, the session will indicate active and running as far as the database is concerned, but really it is not. In one hour, the session will be picked up by the equipment configuration driver and be eligible for a retry.

  10. Configuration—You can select any approved or superseded configuration for processing. Superseded revisions are included to support adding equipment based on outdated specification. For example, you can configure a 25-year-old bus with an older version of a certain engine that you are going to acquire and then generate buses based on that old specification.

  11. All Specific—Use this check box if you want to create specific equipment based on a common configuration. All equipment in the structure will become specific and will be assigned to the organization selected for the session.

  12. Equipment Status—Equipment can be generated as "Installed," "In Store," or "Awaiting Purchase."

    To create equipment in the storeroom or awaiting purchase, the configuration selected must be of the type "Asset" and must have a part number attached. The following fields will be made available and required:

    1. Store

    2. Bin

    3. Lot (if part is lot controlled)

  13. Generate Count—Enter the number of pieces of equipment you want to generate.

    The generation process is started in one of two modes: synchronous (real-time) or asynchronous (batch mode). The Organization Option "GENEQMAX" is set at 100 by default, but you can change this. If Generate Count is less than or equal to this value, you can wait for the result when you click Generate Equipment, otherwise you must wait for the batch job to finish.

  14. Equipment Department—Default department for the equipment to be generated. You can change this on the Details tab.

  15. Equipment Location—Default location for the equipment to be generated. You can change this on the Details tab.

  16. Equipment Cost Code—Default cost code for the equipment to be generated. You can change this on the Details tab.

  17. Equipment Assigned To—Default assigned to for the equipment to be generated. You can change this on the Details tab.

  18. Commission Date—The commission date for the generated equipment. If you leave this field blank, the system uses the system date.

  19. Equipment Structure related fields

    1. Top Level Only—If flagged, no children will be created if the equipment configuration has any.

    2. All Dependent—In the equipment structure, all the generated children will be flagged dependent on their parent.

    3. All Cost Roll-up—In the equipment structure, all the generated children will be flagged to roll up their costs to their parent.

  20. PM Schedule and Maintenance Pattern Details—For the selected configuration, the generation process can create commissioning work orders.

    1. Work Order Department— Default department for the PM/MP work order to be generated. You can change this on the Details tab.

    2. Work Order Location— Default location for the PM/MP work order to be generated. You can change this on the Details tab.

    3. Work Order Cost Code— Default cost code for the PM/MP work order to be generated. You can change this on the Details tab.

    4. Work Order Assigned To— Default for the PM/MP work order to be generated. You can change this on the Details tab.

    5. Work Order Assigned By — Default for the PM/MP work order to be generated. You can change this on the Details tab.

    6. Activate Maintenance Patterns— If selected the generation process will activate the equipment on the selected maintenance patterns and will generate the MP work order. Otherwise, you still must do this activation manual on the Maintenance Pattern screen.

    7. Set Due Values— If selected the Due Date and Due Reading for both meters will be populated during the generation process.

    8. Due Date Reference— The system uses this date to offset the due date. If the PM frequency is 1 month the first due date will be one month after Due Date Reference. If you leave this field blank the system will use the commissioning date of the equipment.

  21. Copy Data—The check boxes in this section control what data from the selected equipment configuration is copied to the generated equipment. You can decide to include or exclude:

    • Comments

    • Documents

    • Custom Fields

    • Meters

    • Parts Associated

    • Warranties

    • PM Schedules

    • Maintenance Patterns

    • Safety

    • Permits

    • Depreciation

    • Calibration

    • Test Points

  22. Commissioning work order related fields—For the selected configuration, the generation process can create commissioning work orders.

    1. Commissioning WO—Protected field that will display the Standard WO code that is selected to be the template for the commissioning work order. This selection is done on the equipment configuration and cannot be changed here.

    2. Create Commissioning WO—If selected, the system will create the commissioning work order.

    3. Commissioning Status—If entered, this status will be assigned to the work order or the default status for the "Released" system code will be selected.

    4. Commissioning Department—If entered, this department will be assigned to the work order or the department of the generated parent equipment will be selected.

      The remaining commissioning work order related fields can be entered as required. If they are left blank, the corresponding field on the work order will be blank as well.

  23. Buttons:

    1. Create/Refresh Preview—This button creates data on the Details and Preview tab. On the Details tab, it will list the equipment configurations included in this session. This includes the selected equipment configuration, subject to your setting for Top Level Only, all its children, grandchildren etc. On the Preview tab, it will list all the equipment that will be generated. To use the bus example from earlier, the Details tab would list three records (one bus and two children) and the Preview tab would list 30 records, 10 buses, and 20 children.

    2. Close Session—Will flag the session as processed and will prevent any further equipment generation.

  24. Standard Tabs—Comments, Documents, and Translations are not available on this screen.
