The system creates follow-up work orders when you click the Create Follow-up WO button on the Checklist tab.

Work orders are created for all checklist items where Follow-up is selected and where Follow-up WO – Activity is still blank. The system will create one follow-up work order for each distinct combination of work order activity and checklist item equipment.

For example, a checklist is attached to an inspection work order with one activity to inspect twenty fire extinguishers. Two of the fire extinguishers require follow-up. One of them has two checklist items selected for follow-up and the other has only one. Therefore, two follow-up work orders will be created. So even for the extinguisher with two follow-up items, only one work order is created. However, this work order will have two activities associated.

If the same inspection work order had a second activity, also with a checklist, the activity would have a separate set of follow-up work orders, even if the equipment selected for follow-up is the same as that on the first activity.

For linear equipment follow-up work orders, will be created for each unique combination of From Point and To Point on the checklist items if Organization Option WOFUFPTP is ‘NO.’ If this option is set to ‘YES,’ the system will revert to one work order per distinct equipment.

The follow-up work order will have the following fields:

  1. Equipment—Same as the equipment from the triggering checklist item.

  2. Organization—Same as the triggering work order.

  3. Department—Same as the triggering work order.

  4. The Description, WO Type, Class, Priority, and Status are derived from the Task Plan of the originating work order activity. See Task Plans. If no status is selected on the Task Plans screen, the default released status is selected for the work order.

  5. The Originating WO and Originating Activity fields are populated with the work order and activity that initiated the follow-up.

Every checklist item that triggered a follow-up work order adds an activity to this follow-up work order. For example, if three checklist items are selected for follow-up and the items are attached to the same work order activity and the same equipment, the follow-up work order has three activities.

To create activities for follow-up work orders:

  1. If the checklist item refers to a Task Plan (Follow-up Task Plan and/or Follow-up Job Plan are not blank), then Task Plan related data of the current approved revision is copied to the activity like it is on the Activity tab of the Work Orders screen.

  2. Trade—If for the checklist item no Task Plan is defined, or the selected Task Plan does not reference a trade, the system uses "*".

  3. Material List—Copied from the checklist item. The current approved revision is copied.

  4. System Level, Assembly Level, and Component Level—Copied from the checklist item.

  5. Component Location—Copied from the checklist item.

  6. Activity Note—Copied from the Notes recorded on the checklist item.

If the created follow-up activity references a Task Plan with an active checklist, the system creates a checklist for the activity.

For linear equipment, the work order activity that is created will have the From Point and To Point data set the same as that from the originating checklist item.

The system does not add checklist items (activities) to existing follow-up work orders, when the user identifies additional checklist items for follow-up and then creates follow-up work orders a second time. Similarly, the system does not delete follow-up work orders if the user has cleared a checklist item after the follow-up work order is already created.

Organization Option WOCLFLUP is active when you close the work order. If checklist items exist for this work order with Follow-up selected, but no follow-up work order is created, the system will:

  • Prevent you from closing of the work order if this option is ‘YES.’

  • Raise a warning message, but allow you to close the work order, if this option is ‘WARNING.’

  • Not perform this check and allow you to close the work order if this option is ‘NO.’
