This procedure allows you to establish the KPI data for all the projects within the portfolio. After the portfolio is created, all the enterprise KPIs setup by the administrator appear in the Key Performance Indicators tab. You can update the KPI thresholds utilized whenever KPIs are recalculated in Performance Measurement screen, as well as the KPI reporting description.

KPIs should be set for standalone portfolios or portfolios at the bottom of the portfolio hierarchy. They should not be added to parent portfolios.

The available KPIs are listed below:

  • Schedule: Available Schedule KPIs include:

    • On Schedule: Checks if the projects are on schedule per defined thresholds.

    • SPI: Checks if the project's Schedule Performance Index (SPI) is within defined thresholds.

            SPI is Earned Value / Planned Value.

  • Cost: Available Cost KPIs include:

    • On Budget: Checks if the project is on budget (within defined thresholds).

    • CPI: Checks if the project's CPI (Cost Performance Index) is within defined thresholds.

      PI is budgeted cost of work performed / the actual cost of work performed.

    • Forecast Variance: Checks if the difference between the project's original variance and current variance is within defined threshold.

    • Budget Variance: Checks the difference between the original budget and current budget is within defined threshold.

  • Control: Available Control KPIs include:

    • Open Change Requests: Checks that the total open changes against the total change requests is within defined thresholds.

    • Open Issues: Checks that the total open issues against the total issues is within defined thresholds.

    • Open Risks: Checks that the unmitigated and uncontrolled risks against total risks is within defined thresholds.

    • Risk Score: Checks that the average risk scores are within defined thresholds.

Follow the procedure below to set the key performance indicators for the selected portfolio.

  1. Click the Key Performance Indicators tab.

    By default, the last selected portfolio appears in the Portfolio ellipsis. To change the portfolio, click the Portfolio ellipsis to select the required portfolio.

    SHARED Tip You can customize the view of the KPIs from the View Settings.

  2. For each KPI, perform the following actions:

    1. Type the required value in Green Maximum Target box. This captures the maximum value used to determine if the project is on target (Green) for that KPI.

    2. Type the required value in Amber Maximum Target box. This captures the maximum value used to determine if the project is at risk (Amber) for that KPI. Anything above this value would indicate that the project is not tracking (Red).

      When an Amber Maximum Target is not available for update, this indicates that any result greater than that established for the Green Maximum Target will change the project’s KPI status is not tracking (Red).

    3. Type the required KPI description in Project KPI Reporting Description column.

      The description in Project KPI Reporting Description box also appears in the Performance screen.

    4. Click the Save icon.

    • Click the Delete Row(s) icon to delete a selected KPI.

    • The KPIs set up here are used in the Performance Measurement screen to recalculate the KPIs and view the KPIs for the selected period. Also, the performance of the projects in the portfolio can be viewed by navigating to Portfolios > Performance Measurement.

    • The values in the Setup Instructions column are set by the administrator.

      SHARED Tip You can add a KPI, if you delete it by mistake. To add the KPI, click the Insert Row icon and add select the KPI ID from the KPI ID ellipsis. Then update the KPI thresholds along with its description as shown in this procedure.
