This procedure enables defined workflow users to process submitted opportunities. Once opportunity is processed, log entry appears in the Opportunity Log panel. The opportunity can be processed as follows:

  • Accept Opportunity: If the opportunity is accepted, it no longer appears in the Opportunity Register panel. The status changes to In Development and it is ready for the stage gate processing. The Opportunity ID is changed to a Project ID. The former Opportunity ID can be seen as the Alternate ID in the Portfolios > Stage Gate – General screen. An email is sent to all users defined in the Workflow Admin screen as well as the creator of the opportunity.

  • Rework Opportunity: The opportunity details can be updated and resubmitted for the evaluation. The status changes to Open. An email is sent to all users defined in the Workflow Admin screen as well as the creator of the opportunity.

  • Reject Opportunity: If the opportunity is rejected it means that the opportunity remains as an idea and cannot be developed into a project. The status changes to Rejected. Also, a log entry in created in the Opportunities Log panel. An email is sent to all users defined in the Workflow Admin screen as well as the creator of the opportunity.

Follow the procedure below to process the submitted opportunities.

  1. Navigate to Portfolios > Opportunities.

  2. Click the Opportunities tab. The Opportunity Register panel appears.

  3. In the Submit column, click the View hyperlink. The Visual Workflow Instance dialog box appears.

  4. (Optional) Type the required Comments.

  5. Perform one of the following actions:

    • Click the Accept Opportunity button to covert the opportunity into a project and move it to the stage gate process.

    • Click the Rework Opportunity button to update the attributes of the opportunity again. You can now update the attributes of the opportunity and re-submit the opportunity.

    • Click the Reject Opportunity button to reject the opportunity.

    • To view the log entry, click the Log tab.

    • To view the status log of the opportunity, click the Status hyperlink in the Opportunity Register panel.

    • Workflows should not be cancelled without first consulting with an EcoSys Portfolios Administrator.

    • If a workflow is cancelled, an EcoSys administrator must perform activities to enable the Opportunity to be processed.

      The workflow user can also approve, reject, and send the opportunity for rework by clicking the Visual Workflow Notifications icon.
