What can I do with a managed data task?

You can perform the following tasks with a managed data task:

  • Transfer existing documents from the staging domain (Data Capture or Data Validator) to the approval domain (Facility Data Warehouse).

  • Alter revision schemes for documents.

  • Validate documents and tags before transferring data to the Facility Data Warehouse.

  • Generate data validation and export process reports.

Before preparing to work with large amount of data, based on the size of the data it is recommended to configure the LicenseTimeoutSeconds property under Site Settings node in HxGN SDx Server Manager. This setting will prevent the license token to timeout, thereby allowing the session to retain. If you are using SDx deployed in Smart Cloud, this must be done for you by the Smart Cloud Team.

Create a new managed data task to transfer documents without using Data Validator

You can create managed data tasks to transfer any document without using Data Validator from Data Capture to the Facility Data Warehouse. After the transfer, the corresponding documents in Data Capture are deleted.

  1. Click Managed Data Tasks in the Data Capture Task Manager.

  2. In the Managed Data Tasks page, click Create Managed Data Tasks .

    Properties and relationships of Data Capture documents can be mapped to properties and relationships of FDW documents. For more information, see Property and relationship mapping.

  3. Type the description of the managed data task in the Description box.

  4. Click Convert to Managed Documents (Internal).

  5. Select a work package from the Work Package list. For more information on work packages, see Create a new work package.

  6. To export previously exported documents, select the Include Exported Data check box.

  7. To export only the latest version of the document, select the Export Only Latest Version check box.

  8. Click OK to export data to the Facility Data Warehouse.

SHARED Tip To view validation details and transfer details on each document, click Validate Report and Transfer Report respectively.

Data Capture transfers Data Capture documents to the Facility Data WareHouse domain and creates Facility Data Warehouse documents without applying the ENS definition. However, if you want to create the Facility Data Warehouse documents with ENS applied, we recommend that you select Data Capture Document Transfer to FDW in the View Definition Groups list and HEX Managed Data Task in the Data Validator Job Definition list, delivered with the product, along with import mappings and other requisite configurations to export the data using Data Validator. You can also customize your own document mappings using Data Validator. For more information on how to configure the document mappings using Data Validator, see Export objects configured with ENS in the target system.

Create a new managed data task to export data from Data Capture to FDW using Data Validator

How can I transfer documents from Data Capture to FDW efficiently using Data Validator?

To efficiently transfer documents from Data Capture to FDW while creating a Managed Data Task, select the following:

  • Data Capture Document Transfer to FDW in the View Definition Groups list - this view definition group contains the view definitions to export the data in CSV format.

  • HEX Managed Data Task in the Data Validator Job Definition list - this job definition contains the requisite import mappings, export mappings, rule sets, and target system details that will map the Data Capture documents to the FDW documents.

Edit the job definition to change the control file directory, user name, and target configuration. For more information, see Edit a Data Validator job definition.

You can create managed data tasks to transfer any business object using Data Validator from Data Capture to the Facility Data Warehouse.

  1. Click Managed Data Tasks in the Data Capture Task Manager.

  2. In the Managed Data Tasks page, click Create Managed Data Tasks .

  3. Type the description of the managed data task in the Description box.

  4. Click Export Data (Data Validator).

  5. Select a work package from the Work Package list. For more information on work packages, see Create a new work package.

  6. Select the Data Validator job definition from the Data Validator Job Definition list. For more information on Data Validator Job definitions, see Create Data Validator job definitions.

  7. Select a view definition group from the View Definition Groups list.

  8. To export previously exported documents, select the Include Exported Data check box.

  9. To export only the latest version of the document, select the Export Only Latest Version check box.

  10. Click OK to export data to the Facility Data Warehouse.

  11. After the transfer, the corresponding object's status is not changed in Data Capture.

    SHARED Tip Click Transfer Report to see transfer details of each document.

  • To validate data related to the task after the managed data task is created, click Validate_Documents. After the data is validated, click Validation Report to see validation details for each document.

  • To export data related to the managed data task to the Facility Data Warehouse domain, click Validate_Documents after the managed data task is validated. After the data is exported, click Transfer Report to view transfer details of each document.

  • If you are trying to transfer business objects using Data Validator, you can transfer tags that correspond to specific documents directly without adding the tags to the work package. This can be done by creating a view definition group with a document and tag pair that has same document interface. For more information, see Manage the view definition groups.

  • When you transfer documents using Data Validator, the corresponding attached files, navigation files and graphics map files for the documents are downloaded in the control file directory of the Data Validator Job definition, provided the relationship definition information for the respective files exists in the view definition group.

  • The Data Validator supports the file relationships such as design files, markup files, navigation files, graphics map files, and alternate rendition files.
