Step classes are used in conjunction with step types to define the behavior and appearance of steps. Methods are added to each step class to define commands that can be performed when a particular step is located in the user's inbox.

As steps are assigned to users, work to be completed appears in the appropriate user's To Do List. Users can also receive e-mail notification when the To Do List contains work for them to do if the workflow is configured to trigger e-mail notification.

The step class contains the following information:

  • Name

  • Description

  • Step Type

  • Process class name (only if Type = P)

  • Email file attachment criteria

If the Email file attachment criteria option is set (for example, if SPFEmailFileAttachmentCriteria="*report*"), the file attached to the workflow object is searched accordingly, and attached to the email.

There are additional control check boxes available. These are not all available for all step types as indicated.

  • Require password for sign off (W) This requests user entry of a password to complete step.

  • Prevent rejection to another workflow (W).

  • Immediate group expansion (I, W). If set, when a group is assigned to a step, it is expanded and its users are added to the step rather than just a group. This is used in the transmittals issue steps to enable reporting on the recipients in the transmittal before that step is reached.

  • Progress workflow without acknowledge (I). This flag is used in the situation where an info step is at the end of a workflow, waiting for the assignee to acknowledge it. If set, this flag allows the workflow to be completed, but leaves the step in the Inbox waiting for the user to acknowledge its receipt.

Icons

In the Desktop Client, workflow step classes have different icons depending on their type and if they are overdue. The icon used when the step is displayed in the To Do List reflects the reason the user has been sent the item and clearly identifies if it is overdue. The icon class is named after the step class, and the overdue icon is appended with OD (displayed when today’s date > target date).
