The following information describes the Signature Request workflow. It explains what can and cannot be changed.

Remodel the work process

Work process remodeling, including creating new steps, requires changes to the underlying workflow template. For more information, see the rules for work process remodeling in Configure workflows and the detailed procedures in How to Configure the Workflow Model.

Details of internal process steps

If the system fails to generate and attach any of the PDF renditions, it directs the workflow to the Correct failure step.

What does the workflow look like?

The steps that make up the workflow are described in the following table.

If you choose to edit the workflow, do not remove any steps marked as mandatory.

Validate documents with files

Checks if the attached documents have any files.

If the documents and files are valid, the next step is Validate email address of all for signers.

If any of the document is empty, the next step is Update missing documents or files.

This step is needed, as otherwise, the request will be submitted with empty documents.

Validate email address of all signers

Validates the email addresses of all the signers.

If the email addresses are valid, the next step is Signature request generate PDFs.

If any of the email addresses are not valid, the next step is Update missing/incorrect signers email address.

Yes

This step is needed, as otherwise, the request will not reach the intended signers.

Signature request generate PDFs

Generates a PDF rendition for any files attached to the signature request.

If rendition generation is successful, the next step is Validate total file size of generated PDFs.

If generating the PDF or attaching it to the renditions fails, routes to Signature request correct failure.

Yes

This step is needed for secure transaction of documents and files.

Validate total file size of generated PDFs

Validates that the total size of the generated PDFs is within the allowable limits.

If there is no deviation, the next step is Relate signature request to generated PDFs.

If any of the file size exceeds the default size, routes to Resolve file size on signature request.

Yes

This step is needed, as otherwise, the request may not reach the signer's mailbox and might bounce.

Relate signature request to generated PDFs

After the above validations pass, the generated PDFs are related to the signature request.

The next step is Set signature request issue state to INITIATED.

Yes

This step is needed, as otherwise, there would be no documents to sign.

Set signature request issue state to INITIATED

Changes the status of the signature request to INITIATED.

If this step is removed, the signature request status will not be modified.

The next step is Submit signature request.

Submit signature request

Allows the signers to sign and complete the request.

If all the documents/files have been signed, the next step is Review signature request response. Otherwise, routes to Signature request validation failed.

This step is needed to submit the request and validate the signatures for completeness.

Update missing documents or files

Allows the user to update the missing documents or files.

The next step is Validate documents with files.

Yes

This step is needed, as otherwise, the issues cannot be fixed.

Update missing/incorrect signers email address

Allows the user to update the missing or incorrect email addresses of the signers.

The next step is Validate documents with files.

Yes

This step is needed, as otherwise, the issues cannot be fixed.

Signature request correct failure

Allows the user to resolve the issues that caused the failure.

The next step is Validate documents with files.

Resolve file size on signature request

Allows the user to resolve the issues related to the size of any of the files.

The next step is Validate documents with files.

This step is needed, as otherwise, the issues cannot be fixed.

Review signature request response

Allows the user to review the signatures and accept or reject the request.

If accepted, the next step is Set signature request issue state to COMPLETED.

If rejected, the next step is Delink documents from signature request.

Signature request validation failed

Allows the user to review the signatures and accept or reject the request.

If accepted, the next step is Set signature request issue state to COMPLETED.

If rejected, the next step is Delink documents from signature request.

This step is needed in case of partial signatures, and the submitter still wants to complete the request.

Set signature request issue state to COMPLETED

Changes the status of the signature request to COMPLETED.

If this step is removed, the signature request status will not be modified.

The next step is Completion notice.

Allows the submitter to complete the request, if the submitter accepts the returned request.

This is an acknowledgment step.

Delink documents from signature request

Removes the relationship between the documents and the request, if the submitter rejects the returned request.

The next step is Delink rendition files from signature request.

This step is needed, as otherwise, the same documents cannot be resubmitted using another request.

Delink rendition files from signature request

Removes the relationship between the rendition files and the request, if the submitter rejects the returned request.

The next step is Set signature request issue state to REJECTED.

This step is needed, as otherwise, the same files cannot be resubmitted using another request.

Set signature request issue state to REJECTED

Changes the status of the signature request to REJECTED.

If this step is removed, the signature request status will not be modified.
