Know what you must do to complete a task.

About this task

There are several things you might be required to do when a task is assigned to you, including:

  • Act as a gatekeeper for tasks to decide if and how the task should proceed

  • Perform a review of the content

  • Update the content

  • Approve the content

If the task is created from a completion comment, the completion is linked in the task Description field.

Review assigned task content

  1. On the menu, navigate to View and click My tasks.

    • The Tasks window opens and displays the tasks assigned to you.

    • Sometimes there are notes added to the task. These notes are visible in the task summary and can provide information such as details on what you are expected to do; read the notes before starting the task.

  2. Click the Open review link.

    • The system displays the content in a review mode with options to add comments.

    • If you have access to the version history, then compare the review version with an earlier version to see what changed.

  3. Review the content and in the location where you want to add a comment, click +Comment.

    SHARED Tip If the ability to add a comment is disabled, then you have another comment in progress. Save or cancel that comment so that you can add or edit another comment.

  4. Enter a comment in the comment field(s).

  5. (Optional) Tag a user to notify them of the comment; this will send the user an email notification.

  6. Tag a user by entering their name or email address then selecting them from the list that appears.

  7. Click Save.

  8. Repeat for each review comment you need to make.

    • Dynamic tables do not appear in table view during reviews; they appear similar to how they appear during editing. To see the table as it appears to the regular user, click the table preview icon found under the table title.

    • If a section appears with a coloured bar down the left and an information icon at the top of the bar, this indicates that the section is set to be summarized in the PDF output. Generating a PDF version of the content is recommended to ensure the desired content is included in the summary sections.

  9. When your last comment is saved, Click Complete review.

Update content based on review comments

  1. On the menu, navigate to View and click My tasks.

    • The Tasks window opens and displays the tasks assigned to you.

    • Sometimes there are notes added to the task. These notes are visible in the task summary and can provide information such as details on what you are expected to do; read the notes before starting the task.

  2. Click the Open review link.

    The system displays the content in a review mode with options to add comments.

  3. Expand the History section of the task.

  4. Scroll through the list of Actions, and click the Review hyperlink.

    The system displays the content, which includes the reviewers comments.

  5. Make the required changes.

Gatekeeping or approving an assigned task content

  1. On the menu, navigate to View and click My tasks.

    • The Tasks window opens and displays the tasks assigned to you.

    • Sometimes there are notes added to the task. These notes are visible in the task summary and can provide information such as details on what you are expected to do; read the notes before starting the task.

  2. Review the content and transition the task to move it to the next state or record your approval.

Completion of an assigned task

  1. On the menu, navigate to View and click My tasks.

    • The Tasks window opens and displays the tasks assigned to you.

    • Sometimes there are notes added to the task. These notes are visible in the task summary and can provide information such as details on what you are expected to do; read the notes before starting the task.

  2. Click Start beside the Completion field.

    • If a completion is required, the Completion field appears with a Start button beside it.

    • The task cannot be transitioned until the completion is done.

  3. Click title that appears; it is a direct link to the required completion.

  4. Complete the required steps in the completion.

  5. After you finish all statements, click Complete.

    This returns you to the task so that it can be transitioned and shows a link the Completion. This link is saved and accessible within the Task History.

    If you assigned the task to a specific user, the task appears on the assignee's My Tasks page and an auto-generated email is sent to them with the pertinent details. Otherwise, the task displays in the Unassigned section of the Tasks page. Users with the "Assignable to content" role can assign the task to themselves and complete.
