Every user is provided with a user account to log in to AcceleratorKMS. Your user account contains the domain(s) and role(s) you have been assigned. When content (document or flow) is created, it is assigned to a single domain and one or more roles. Therefore, the domains and roles you have been assigned determine:

  • Content and tasks you can access

  • What you see in your search results and dashboard reporting

  • What authorization you have for completing and using content

The Administrator creates the roles and assigns role operations to the roles. Some role operations continue to be applied at the global level so users with those roles are not limited to a specific domain but rather continue to have access to operations at the global level. Those roles appear under Global operations in the Domain Access list. For more information, see Viewing your domain access.

To perform a completion, the "Complete content" role operation must be included in one of the roles assigned to your user account which is then used in a completable statement for the content. Your user account must also contain a role that is one of the access roles defined for the content. If one of these is missing, you will not be able to perform a completion on that content. For example, if the access field within the content includes "Everyone in this domain", and the completable step requires an FO role to complete the content, the user only requires the FO role in the content's domain to complete the content.

If you want to view your completion history, you must also have either the "View completion history" or "View personal completion history" role operation included in one of your roles.

However, some role operations continue to be applied at the global level so users with those role operations are not distinguished by a specific domain but rather continue to have access to operations as they relate to other objects, such as, statements, users, and templates at the global level. Therefore, because "View personal completion history" and "View completion history" role operations are Global operations, you see the completion history for any content that is visible to you within your domain.

The following table shows examples of tasks that a user can perform based on the role and role operations they have been given. The table also identifies the role operation types as either domain and domain descendants or global.

For example:

  • Domain and domain descendants - Users with role operations in this category have authentication for the operation only for documents and flows within their assigned domain and domain descendants.

  • Global - Users with roles operations that are identified as Global have authentication for the operation globally regardless of domain of the specific role's assignment.

If you cannot perform a particular task, contact your Administrator to see if that role operation can be assigned to your role.
